Bank Client
Since February of 2007, Bank Client has utilized Scanvo as their bank-wide document imaging application. For Bank Client, the scanning project began with loan files. Offering Auto, Personal, Small Business, Mortgage, and Construction loans is of great service to their customers, but amounted to mountains of paperwork to keep track of. Now when a loan application is submitted, it is scanned in from the originating branch location. As new documents become available, such as credit reports, approvals, etc., they can simply be scanned in and added to the loan file. The document repository exists in the headquarters, and can be used from any location with an internet connection. Web-based scanning and retrieval makes it very convenient for loan officers to work from various locations, including field offices. Also, by hosting Scanvo in a secure, redundant facility, respect for the sensitive nature of this information is ensured.
Because of the number of people employed, Bank Client also uses Scanvo in the Human Resource Department. Having applications, resumes, employee action forms, etc. online and available from every branch office has helped the HR department become much more efficient with their use of time, space, and information.
Construction Company
In October of 2006, Construction Company began an aggressive campaign to convert their paper based archival system into an electronic document management system. They chose Scanvo as the best product to accomplish this task.
With Scanvo, all of the company’s documents can be scanned from any internet-connected location and archived on a bank of servers employing the latest technologies to handle data replication and backups. Because Scanvo is a web-based application, users can retrieve documents from it’s powerful SQL database-driven search engine from any computer with an internet connection. In the construction business, that usually means that project managers can scan and access documents from the job site, while management and accounting personnel can work with the same information back at the corporate office.
A perfect example of this luxury takes place every day with Accounts Payable documents. Purchase orders and A/P invoices can be scanned at the corporate office and routed to a project manager using Scanvo’s dynamic workflow feature. After receiving the workflow notification out at the job site, the project manager can reconcile what’s been invoiced vs. what’s been purchased and delivered, can scan in the corresponding delivery ticket, and then return the workflow back to the A/P clerk at the corporate office with payment authorization/instructions. Using Scanvo to streamline their Accounts Payable process, Construction Company has been able to speed up this process tremendously and therefore take advantage of early payment discounts. The project manager also uses Scanvo to review construction plans, drawings, sub-contracts, etc. as well as scanning time cards and other employee information at the job site rather than having to make multiple trips back to the office.
